Some 'virtual' platforms still need plugins or apps. Verify by joining a real demo from a brand-new browser profile.

What is the booth CMS like?

Ask the vendor to send you a demo booth login. Build a booth in 10 minutes. If you cannot, your exhibitors cannot either.

How does video chat scale?

Concurrent rooms, bandwidth, mobile reliability. Ask for case studies at your expected size, not theoretical maximums.

What are the integrations?

Google Analytics, ATS, CRM, SSO, webcasting platforms. Native beats Zapier-based for production reliability.

Where is the data stored?

Region matters for GDPR and procurement. Ask, in writing.

What does support look like on event day?

Dedicated PM, 24/7 help desk, response-time SLAs. 'Email support' is not enough.

What is the analytics depth?

Beyond top-line KPIs, can exhibitors get booth-level data? Can you export everything as CSV?

How much customization without engineering?

Logo, colors, lobby art, fonts, custom domain. If anything needs developer hours, expect delays.

What is the multi-language story?

Built-in or bolted on? Right-to-left languages? Translatable emails?

What is the pricing model?

Per-event, per-attendee or annual. Make sure the model lines up with your event cadence.

What is the renewal/uptime track record?

Ask for renewal rate and uptime over the past 12 months. 99.9% sounds great until you read the SLA fine print.

Will you talk to a real customer?

Insist on a reference call with a customer of similar size and industry. Vendors who say no are telling you something.
